Managing Locked Pages

Set up and maintain centrally managed content

Locked Pages are created and maintained in the Library by a Library Admin. They allow your organization to manage content centrally, while still making it easy for Editors to include in their microspaces.

Who can create Locked Pages

Only Library Admins can create, edit, or remove Locked Pages. Editors can add them to microspaces, but cannot modify their content.

How to create a Locked Page

  1. Go to the Library and open a microspace template.

  2. Add a new page and include content like text, images, or file upload areas.

  3. Click the lock icon to lock the page.

You can also lock an existing Library page by opening it in the template editor and clicking the lock icon.

Once a page is locked:

  • It becomes centrally managed and cannot be edited outside the Library.

  • It cannot be unlocked.

  • It cannot be deleted if it is used in one or more microspaces.

Locked Pages are marked with a lock icon.

How updates work

When you update a Locked Page in the Library, all instances of that page across microspaces are updated automatically.

Changes are always reflected in the live microspaces using that page. There’s no need for Editors to take any action.

Viewing usage

Library Admins can see how many microspaces currently use each Locked Page. This helps you understand the potential impact of updates and whether a page can still be deleted.

Reusing Locked Pages

Once created, a Locked Page can also be added to other templates using Add from template. It stays connected to the original, so updates made in the Library are reflected everywhere it is used.

This is useful for content like About pages or legal disclaimers that need to stay consistent across use cases.

Deleting a Locked Page

Locked Pages can only be deleted if they are not currently used in any microspace or template.

If a page is still in use, you will need to remove it from all locations before deleting it from the Library. This prevents accidental content breaks.

Need to make major changes? Consider creating a new Locked Page instead of editing the old one, especially if multiple teams rely on the current version.
